Privacy Policy — "Let us do the work"
Pilot version 0.1 · September 2026 · Four Lines Capital Management, LLC, doing business as Four Lines Fiduciary
This policy covers the done-for-you service ordered at assist.fourlinescapital.com/order — the one where you give us real information about a real estate. It is deliberately more specific than the two general policies it sits beside: the app privacy policy (the free app, which keeps your data on your phone) and the Four Lines Capital Management privacy policy (our websites generally). For anything about this service, this policy controls.
1. What we collect, and from whom
- From you at checkout and booking: your name, email, phone, billing details (held by Stripe — we never see card numbers), the name of the estate or trust, the order you configured, and the time you book for the onboarding call (Google Calendar).
- From you on the call and in the optional intake: your role (executor, administrator, trustee, beneficiary), the deceased's name and date of death, the state and county, the institutions and how each account is held, what you already have (death certificates, Letters, a trust), the employer and any pensions, cards and subscriptions to stop, deadlines you know of, and anything you choose to tell us.
- Identity and authority: we look at your government ID on the call or through Stripe Identity (which returns a pass/fail and the name and date of birth printed on the ID — not the images), and we receive the documents that show your authority — the will, Letters, a certification of trust, a beneficiary designation, or your attorney's letter.
- Forms that carry a Social Security number — IRS Form SS-4, a beneficiary claim form an institution requires — travel only through the secure signing and document folder we set up with you, never by email.
- From institutions, on your instruction: case numbers, their document requirements, status, and copies of what they send back.
- From public and government sources you direct us to use: IRS transcripts requested on forms you sign, state unclaimed-property records, the NAIC policy locator, credit-bureau confirmations.
- Website: our server logs record the request and a masked IP address for security; no advertising cookies on the browsing pages. On the booking page only — the page you reach after paying — we load Google's conversion tag so we can tell which advertising brought you; it records that a booking happened, not who you are, and it is the only third-party tag on the site. We also count page views of the offer pages in aggregate (a number per page, nothing about who you are — no cookies, no identifiers, no third-party analytics) so we can see where people drop off. If you arrived from the app, only counts (how many institutions, of which kinds) and an eight-character quote code came across — never institution names unless you tapped "send my list."
2. How we use it
To do the work you ordered and nothing else: report the death to the institutions on your list, prepare documents for your signature, submit them, follow up, keep the record you need for the estate, answer your questions, and bill you as agreed. We use it to comply with law (tax and payment records) and to protect against fraud (identity and authority checks before we contact anyone on your behalf).
3. Who sees it
- The institutions you have asked us to contact — only what each one requires, and only for the account you listed.
- Our staff working your matter — the named person on your order and their reviewer, under confidentiality obligations, with access limited to assigned matters.
- Service providers acting for us: Stripe (payments; Stripe Identity for ID checks), ShareFile by Progress (document folder and e-signature), Google (calendar booking), Formspree (form delivery to our inbox), our email host, Fly.io (website and API hosting, United States), Intuit QuickBooks (the estate's ledger of receipts and disbursements), and our internal phone and messaging tools. Each receives only what its function needs and may not use it for anything else.
- Never: we do not sell or rent your information, do not share it for advertising, and do not give it to anyone you haven't directed us to — unless the law requires it (a subpoena, a fraud investigation), in which case we tell you when we are allowed to.
4. Security
Documents live in a per-matter folder in ShareFile, encrypted in transit and at rest, with an audit log of access. Card data never touches our systems. Staff use multi-factor authentication. We keep Social Security numbers, dates of birth, and account numbers out of email and web forms by design, and we ask you to do the same. No system is perfectly secure; if a breach affects your information we will tell you promptly and as the law requires.
5. How long we keep it
Your file — the record of what was sent to whom, when, and what each institution said — is kept for seven years after your matter closes, because the estate may need it, then destroyed; sooner if you ask and the law allows. ID images are not kept by us at all. Payment records are kept as tax law requires. The optional intake and feedback forms are kept with your file.
6. Your rights
You can ask us at any time what we hold about you, get a copy, correct it, or have it deleted (subject to the retention the law and the estate's record require). California residents have these rights under the CCPA/CPRA; we do not sell or share personal information as those laws define it, and we do not discriminate for exercising your rights. To exercise any of them, email handled@fourlinescapital.com from the address on your order; we will verify it is you and answer within the time the law sets.
7. Email and text messages
Emails about your order — receipts, status changes, our answers — are part of the service. Text messages come only if you opt in, and you can reply STOP at any time. The free guide and occasional notes come only if you tick that box, with an unsubscribe link in every one.
8. The deceased's information
Much of what you give us is about someone who has died. We treat it with the same care as yours, use it only for the estate's administration, and disclose it only to the institutions and agencies the administration requires.
9. Children
The service is for adults acting for an estate or trust. We do not knowingly collect information from anyone under 18, except a minor's name where a beneficiary designation requires it.
10. Changes and contact
We will post changes here with a new date; the version in force when you ordered applies to your order unless a change benefits you. Questions or requests: handled@fourlinescapital.com, or by mail to Four Lines Capital Management, LLC, at the address on your receipt.
